For most of my clients who want to send customized emails, I find that 95% of the email is the same every time. It’s just one or two sentences that can be added to make the email personal.
You can absolutely build in opportunities to do this inside of your Dubsado workflows. I do it for every single client that I have.
Here’s How I Do It
I write a template that can go out exactly as it is.
Then I add a To Do in front of it saying, “Hey, go customize this email if you want to. Then mark this to do complete to send it.”
The cool thing is… if you’re too busy right then and you’re happy to send it exactly as it is, mark the To Do complete; the email gets sent as is.
Otherwise, you can take a few seconds to write a custom sentence or two and then send the email. No major delays because you want to take the time to write the email from scratch.

Step 2: Choose your first workflow
Pick the part of your client journey that feels the messiest. Often it’s inquiries or onboarding. Decide: “I’m going to build one simple automated flow for this.”
Step 3: Write your core templates
Take one email you send all the time (like your inquiry response) and turn it into a reusable template in your CRM. Keep it personal. Use your normal language. Add spots where you can customize for each couple.
