HoneyBook is a genuinely great, user-friendly CRM for creative businesses — but after building both platforms professionally (and recently migrating a client from Dubsado to HoneyBook), I’ve found its conditional logic needs careful trigger testing and its forms/emails get locked down once attached to a workflow. It’s a strong fit for straightforward client processes, but proposal-heavy businesses with a lot of variation (like home staging) may hit real friction.

How I Got Into Setting Up/Using HoneyBook
When I first launched my business in 2020, I quickly realized how important a reliable CRM is for managing client relationships, bookings, and projects. Dubsado was my go-to and served me well. But in 2022, HoneyBook caught my eye — its reputation for simplicity and quick setup had me intrigued enough that I nearly completed an entire setup in one day.
I ultimately stuck with Dubsado for my own systems (mainly for its automation depth), but HoneyBook impressed me enough that I added Done-For-You HoneyBook Setups to my services alongside my Done-For-You Dubsado Setup. I rebuilt my own HoneyBook account too, so anyone who hires me for HoneyBook sees firsthand how I deliver a client experience in that platform.
I’ve since built HoneyBook systems for wedding photographers, planners, and designers — and I recently helped a past client move an existing business from Dubsado to HoneyBook. That project taught me some things about HoneyBook that you won’t find in a typical review, and I’m sharing them below.

What is HoneyBook?
HoneyBook is a client relationship management (CRM) platform built for creative entrepreneurs and small business owners — an all-in-one tool for managing your client flow from inquiry through proposals, contracts, invoices, and payments. It’s known for its user-friendly setup, drag-and-drop templates, and built-in payment system.

My Overall Take on HoneyBook
If you want the short version: HoneyBook is one of the easiest CRMs to get up and running, and it genuinely delivers on the “polished, professional client experience” promise without a steep learning curve. For wedding photographers, planners, and designers running a fairly straightforward client process, it’s an excellent fit. The guided setup, Smart Files, and built-in payment tools mean you can go from sign-up to fully booking clients in a matter of days, not weeks.
Where it gets more nuanced is automation depth and flexibility. HoneyBook’s conditional logic and workflow tools have come a long way, but they’re not as granular as Dubsado’s — and because I’ve now built both platforms professionally and migrated a client between them, I’ve run into a couple of specific limitations that a typical single-platform review wouldn’t catch. Those are worth knowing before you commit, especially if your business isn’t a simple, repeatable process.
Bottom line: for most creative businesses, HoneyBook is a strong, low-friction choice. If your client work varies a lot project to project, keep reading (the details below matter more for you than most).
What I Learned Helping a Client Migrate from Dubsado to HoneyBook
This is the part most HoneyBook reviews can’t tell you, because most reviewers only ever set the platform up once — for themselves. I recently helped a client of mine move from Dubsado to HoneyBook. Here are a couple things I learned through the process.
Conditional Logic Is Powerful — But the Triggers Need to Be Bulletproof
HoneyBook’s conditional logic (added in 2024) is genuinely great: you can wait for someone to book, then send a planning guide, or send a reminder if they haven’t booked in X days. But the automation is only as good as how carefully you build the trigger conditions.
On this migration, the triggers weren’t scoped tightly enough — and clients who had already booked started receiving automated emails asking them to complete a proposal, as if they were still a lead. Not a great look for a business trying to feel polished and put-together.
The takeaway: conditional logic is one of HoneyBook’s best features, but treat every trigger like it needs a QA pass. Test it against a client who’s already at each stage of your pipeline before you turn it on for real leads — not just against a fresh lead.
You Can’t Edit an Email Once It’s Attached to a Form (and You Can’t Customize the Form Either)
Here’s a limitation I don’t see mentioned in other reviews: if an email is set to send a form, you can’t update that email once it’s live in a project. You can edit a draft email that isn’t sending a form — but the moment a form’s attached, it’s locked.
Worse: you also can’t customize the form itself at that point. If you want to send a client a customized version of a proposal — say, different line items for different properties — you have to manually send the proposal first, then customize it from there. There’s no way to pre-customize before sending.
This matters most if your business is proposal-heavy and non-uniform — home stagers are the clearest example. If every property needs a different proposal, this limitation adds real manual steps that a fully-automated workflow shouldn’t require. It’s the one thing that still bugs me about the platform.
Why I Recommend HoneyBook to My Clients
- Feels lighter and less overwhelming visually than Dubsado — the learning curve is gentler
- Guided setup gets you running fast (want to get the most out of it? work with me on your setup)
- Integrates with Calendly for more scheduling flexibility
- Mass emailing built in — Dubsado doesn’t have this
- Integrates with Pic-Time for photographers
- Team features: individual signatures, individual calendar booking — no Dubsado workaround for this
- Conditional logic in workflows (see caveat above)
Why HoneyBook Might NOT Be The Best Fit For You
- You want deeper automation flexibility (see the form/email limitation above)
- You’re outside the US or Canada — HoneyBook isn’t available there (Dubsado is a better fit)
- Your business runs on non-uniform, proposal-heavy client work (see above)
- You don’t like the platform’s feel — that’s a real, valid reason

My Favorite Features in HoneyBook
I’ve already named a few of my favorite features that cause me to recommend HoneyBook, however, I have a few favorites of my own.
The AI Tools Keep Getting Better!
HoneyBook’s AI meeting assistant drafts lead responses for you to edit and send, summarizes project details before your meetings, and takes notes during calls — turning action items into tasks with one click. HoneyBook has continued expanding this into 2026, including new photographer-specific tools and in-person tap-to-pay for on-the-spot payments during sessions.
The Mobile App is Amazing for Handling Work on the Go
Dubsado’s app launched in 2024 and is improving, but HoneyBook’s is still more full-featured for managing client work on the go.

The Scheduler
HoneyBook’s scheduler syncs multiple calendars, accepts payment at booking, and handles mini-sessions more smoothly than Dubsado’s.
SMS Confirmations and Reminders
Built-in SMS for appointments and payments — no Zapier workaround needed like Dubsado requires. HoneyBook has also added two-way SMS (paid add-on) so conversations route straight into your project.

Automatic Late Fees and Allowing Clients to Choose a Payment Plan
Both used to require manual setup before sending to a client. HoneyBook automated both.
Smart Files
Build a booking document with invoice, contract, and scheduling in whatever order you want — invoice before signature, appointment booking built in, whatever fits your process. You can also add other pages as well. This is one of my favorite features. It makes for a totally custom booking process.
Is HoneyBook Right for You?
HoneyBook excels at making your business feel organized and client-friendly without overwhelming complexity — the AI assistant, conditional logic, and SMS reminders are genuinely hard to beat. But if you need deeper automation flexibility, run a proposal-heavy business with a lot of variation between clients, or operate outside the US/Canada, Dubsado is worth a look instead.
