If you’re like most of the creative business owners I work with, you’re wearing a dozen hats and juggling a full client load already. The idea of overhauling your client experience sounds amazing… and also a little overwhelming, if we’re being honest. That’s where a solid CRM setup guide can save you from spinning your wheels.
Good news: there’s more than one way to get your CRM setup. Aside from doing it yourself, you can get my help to get it done faster (and borrow my systems strategy and client experience brain). How to Set Up Your CRM
Step 1: Map Your Client Journey First
I know it’s tempting to jump straight into building workflows. Don’t skip this step, or you’re going to spend a TON of time setting up your CRM.
Before you touch your CRM, sit down and map out every single touchpoint from first inquiry to final goodbye:
- How does a lead find you, and what happens the second they reach out?
- What info do you need from them before you can send a proposal?
- What happens after they book — what do they receive, and when?
- What are the natural “checkpoints” leading up to the wedding (timeline calls, final payment, day-of details)?
- What does offboarding actually look like once the wedding’s over?
Write it all out, start to finish, exactly how it happens today (messy or not). This becomes your blueprint for everything you build next.

Step 2: Translate Your Map Into Content and Workflow Logic
This is the step almost everyone underestimates, and it’s where a lot of DIY setups quietly go off the rails.
Your map is written in plain, human language. But a workflow doesn’t run on plain language — it runs on specific actions, and your map doesn’t translate over automatically. Something you wrote as “send them an email with the questionnaire” is actually different language in Dubsado: it’s actually send a form (and you tell it the email to use to send it).
“Remind them about their final payment” might really be setting up payment reminders inside of your Dubsado payment plans. You have to break every step on your map down into what it actually is in CRM automation language.
While you’re doing that, pull together two things:
A content list. Go through your map and note every piece of content you’ll need to build — every email, every form, every scheduler. This becomes your build checklist for the next step.
Your triggers and order. For every workflow, figure out what actually kicks it off — is it a form submission, a contract signature, a specific date, a manual trigger from you? Then re-arrange everything so it will go out in the right order. Get the trigger wrong, or the order wrong, and you’ll end up with an email that fires too early, too late, or not at all.
Skip this translation step and you’ll do a lot of jumping around and re-doing workflow steps all of this adds extra time to your build.
Step 3: Setup your CRM Settings
Every CRM has a settings area. Head there and work through all of the settings. Make sure to setup:
- your branding
- connect your email
- integrate your bookkeeping software
- connect your calendar
- connect your video conferencing.
- highly recommended: white label your CRM so any links you share on social media will show as your website instead your CRMs.
Step 4: Build Your Content — In the Right Order
Now that you have your content list, build in this order:
- Canned emails — every message you’ll be sending repeatedly. Write these first.
- Forms — contracts, questionnaires, proposals, invoices. Branded, reusable, built once.
- Schedulers — your booking links for discovery calls, engagement sessions, timeline calls.
Trying to build workflows before this content exists is like writing a recipe before you’ve bought the ingredients.
Step 5: Build Your Workflows
With your content built and your triggers and order already worked out in Step 2, this step is mostly assembly — connect the pieces in the sequence you already mapped out.
Step 6: Test Everything Before It Touches a Real Client
Every workflow, every trigger, every form. This step gets skipped constantly, and it’s exactly why a “finished” setup still has gaps six months in.
Step 7: Launch, Then Watch and Adjust
Your first few real clients through the system will show you things you didn’t think of. That’s normal — a good system evolves, it doesn’t get set once and abandoned.
