Hey Solopreneurs! If you’re juggling clients and projects and wondering how a solopreneur CRM can help, this post is for you. If your brain feels like it’s halfway between “booked and busy” and “I need a nap,” this post is for you. Summer is wild — between clients, kids, Summer vacations, and projects piling up, it’s easy to think “I’ll fix my systems later.”
But here’s the truth: you don’t need to overhaul everything. You just need a simple reset.
One that takes 30 minutes. One that works even when you’re chasing toddlers or editing until midnight. That can save you hours — and honestly, your sanity.
Let me show you what this simple solopreneur CRM lead management system looks like.
I Set This Solopreneur CRM System Up Once, and It Booked Me a Client While I Was in Uniform
Every summer, I leave for two weeks of Annual Training with the 126th Army Band (I’m a flute player and singer). While I’m gone, I absolutely do not have time to check my inbox or follow up on inquiries.
But this summer? I had systems in place. Someone booked a discovery call for the following week and got my automatic confirmation, follow-up email, and nurture sequence, all while I was away. No missed opportunity. No scrambling. Just ease and a perspective client who felt cared for (even when I didn’t have the bandwidth to do so).
That’s what this reset is about.

The 3-Part Reset You Can Tackle Today (Seriously, in Under an Hour)
Here’s your plan for a quick win this Summer:
1. Create a Simple Lead Capture Form
You can build your lead capture form directly in Dubsado or HoneyBook — both platforms make it easy for creative entrepreneurs to collect inquiries with ease. It can be embedded in your website or linked from a button. It should ask just the essentials: name, email, service interest, and a “tell me more” box. Keep it short and friendly. Dubsado or HoneyBook will collect all the info in one place. Helping you keep your inquiries in one place.
Both Dubsado and HoneyBook have automation tools built right in, so once this is set up, it runs while you’re out enjoying all the Summer fun!
This email should go out immediately (or a few minutes if you really want to make it feel like a robot isn’t responding) after the form is filled out. It doesn’t need to be fancy. Just include these four things:
Thank them for reaching out
Let them know when to expect a personal reply
Share something helpful and thoughtful (like a blog post or checklist) that would be valuable to them at this point in their client experience. ✨ Example: If you’re a wedding photographer, link to a resource like “What to Think About When Choosing a Wedding Photographer.”
Invite them to book a consultation if they’re ready. Hint: If you don’t already have an online scheduler, add a little time to set this up. It’ll save you a ton of time by allowing potential clients to book a consultation with you when you’re not around.
3. Add 2–3 Follow-Up Emails (a mini nurture sequence)
If they don’t book right away, don’t stress — many people just need a little more information and reassurance before they take the next step. A thoughtful follow-up sequence builds trust and keeps you top of mind with prospective clients without you having to send a single manual email.
This email should answer the question: “What’s it like to work with you?”
Include:
A quick overview of your process
What happens after they book a consultation
3–5 FAQs you get on discovery calls (pricing, timeline, next steps, etc.)
A glowing testimonial
A clear call-to-action to book a consultation
💡 Tip: If you’re using Dubsado, you can trigger different versions of this email based on the service they select — hello, customized automation!
Email #2: A Client Case Study
When to send: 2–3 days later
Now it’s time for storytelling. Show them what’s possible by sharing a short case study from a real client. This is way more powerful than a one-line testimonial.
Tell them:
What the client was struggling with
What you did together
The transformation or result they experienced
Wrap with a line like: “If you’re nodding along with this story, let’s chat. I’d love to help you get the same kind of results.”
And of course, link that call scheduler again.
Email #3: Reconnect & Remind
When to send: 2–3 days after the last email
This one’s your gentle nudge — no pressure, just a friendly check-in. Keep it short and warm.
You might say:
“Still thinking things over? I’d love to answer any lingering questions. You can book a consult below, or hit reply and ask me anything!”
Sometimes people are waiting for permission or reassurance. This is your chance to give it.
That hour? It’s going to pay off huge in peace of mind, lead conversion, and those “wait, someone booked while I was offline?” moments.
Trust me, your future self will thank you.
And if you’re still thinking “I literally don’t have the time,” you can always book a 90-minute Systems Strategy Session, and I’ll set it up for you. You don’t have to do this alone.
