Today, we’re diving into something every entrepreneur struggles with—protecting your energy and finding more time (especially when it comes to scheduling appointments with clients). As business owners, energy is one of our greatest assets, and without clear boundaries, we can quickly find ourselves drained and unable to deliver our best work. Trust me, I’ve been there.

In this post, I’ll be sharing three powerful ways to safeguard your energy by creating an ideal calendar and using a client scheduler to protect your time. Let’s get into it!

1. Create an Ideal Calendar

When it comes to protecting your boundaries and energy, having an ideal calendar is a game changer. It’s not just about throwing appointments onto your calendar willy-nilly. Instead, it’s about sitting down and deciding what you want to accomplish each day of the week with intentionality.

This can look different for everyone. Some entrepreneurs have dedicated weeks for content creation and separate weeks for client work. Others break their days into blocks for different tasks. Personally, I’ve adjusted mine several times over the years, but the key is to decide which days are for client-facing activities and which are reserved for behind-the-scenes work.

Why does this matter? If you try to squeeze client work between scattered appointments, it feels chaotic. You lose focus, your energy dips, and you can’t deliver your best work. That’s why my ideal calendar has become a non-negotiable tool in my business.

The best part of having an ideal calendar is that you can put intention behind your work. For instance, I know I’m not at my best during strategy calls on a Friday afternoon. That’s a time for me to wrap up the week or recharge, not do high-energy tasks. Scheduling with intention prevents burnout and ensures I’m providing my clients with my very best.

2. Use an Electronic Client Scheduler

Let’s talk electronic client schedulers. One thing I hear often is, “I don’t want to sound impersonal by sending a scheduler link.” But let me tell you, people love the convenience of booking their own appointments online. Nobody wants to play email ping pong, sending back and forth times that may or may not work. We’re all busy, right?

When you send someone a scheduler link, you’re actually making it easier for them to work with you. Whether it’s booking a call with a nail salon or a doctor’s office, I know I prefer just clicking a link to book an appointment—no phone calls or back-and-forth emails. Plus, you can attach a form to collect information so you can be better prepared for the meeting. Want to learn more about how a CRM/client scheduler can streamline your business?

It’s all in how you present it. Instead of a cold “Here’s my scheduler link,” I suggest something like:
“I’d absolutely love to chat! Here’s a link to my schedule—find a time that works for you, and I can’t wait to meet with you.”

By using a scheduler like Dubsado, HoneyBook, or Calendly, you’re giving clients the convenience of booking with you on their own time. Plus, it reinforces the boundaries set by your ideal calendar. You decide when you’re available, and your scheduler automatically shows those times. No need to play the bad guy by turning down appointments.

3. Prevent No-Shows with Automated Reminders

Nothing is more frustrating than wasting time on no-shows. You’re ready for a call or a meeting, and the client just doesn’t show up. What a waste of your valuable time!

This is where automated reminders come in handy. Most scheduling tools allow you to send confirmation emails and reminders to your clients. I typically send a reminder 24 hours before the appointment and another one hour before. This reduces no-shows and ensures everyone is on the same page. (Plus, your client will be thankful you sent them a reminder with the video conferencing link if they never added the appointment to their calendar.)

In addition to reminders, some platforms (like HoneyBook) even allow you to charge for missed appointments. You can also include options for clients to reschedule or cancel if needed, ensuring your time is respected.
