Your invoice is more than just a payment request—it’s part of your client experience. A confusing or cold invoice can leave a client scratching their head… or worse, holding off on payment. The good news? Dubsado gives you several ways to easily customize your invoices so they feel clear, professional, and on-brand.
(Hey, just so you know, I do have affiliate links in this blog post. They’re for tools I use and recommend. If you click them, I’ll get a small payment. Just think of it as saying thanks for this post. 😀)

Let’s customize your invoices to enhance your overall workflow.
Before you dive in, can I ask a quick favor?
If you love what I’m talking about and have a business friend who could use it, will you share this post with them? It will help them out, and it’ll help me reach more amazing service-based business owners just like you.
Yes, you CAN use Dubsado’s Packages feature to create invoices with your most common services. They can include set pricing and descriptions. This makes invoices super quick to generate and helps clients understand what they’re paying for—no awkward emails asking for clarification. Did you know you can ALSO edit the packages once they’ve been added to the proposal or invoice? You can customize invoices to suit different client needs.
You can also add custom line items as needed to keep things flexible. (Perfect if you’re creating custom quotes for clients.
2. Personalize the Invoice Header Text to Customize Invoices
The Invoice Header is a great spot to remind your client what this invoice is for and how excited you are to work with them. Make it easy by customizing invoices with personalized notes. A warm note like:
“We’re so excited to kick off your wedding design! Here’s the invoice for your wedding photography—let us know if you have any questions.” …can make the whole process feel more personal (and less like a bill collector is calling).
3. Add Payment Plan Templates to Your Invoices
You can create payment plan templates in Dubsado. It’ll show all of the payments and when they’re due on the bottom of the invoice.

3. Use the Footer to Customize Invoices by Adding Payment Info and Next Steps
Don’t leave your footer blank! Use it to add helpful information like:
Refund policy links
Payment methods you accept (Zelle, Venmo, Cash App, etc.) You can even add hyperlinks so clients can pay right from the invoice.
A link to pay their invoice in your bookkeeping software if you prefer. (Just remember to add the link to their invoice before sending it.)
Or even a note like:

“Prefer to pay via QuickBooks or Xero? No problem! Let us know and we’ll send a link.”
Bonus Tip to Customize Invoices: Add Your Logo
Want your invoice to feel extra polished? Upload your logo to the top of the invoice in your Dubsado branding settings. This customization makes invoices cohesive and reminds your client that they’re working with a pro.
A little customization goes a long way. Don’t miss the chance to make your invoices feel as thoughtful as the rest of your client experience by customizing them.
